What is it?

Our physical gift card is a QR code gift card with 16 digits and a 4 digit scratch off digit pin.

How to Set Up Physical Gift Cards

  • In the Dashboard navigate to → Growth → Marketing → Gift Cards

    • Agree to terms and confirm, then toggle on Physical Gift Cards.

    • Once setting is turned on, physical gift card will appear as an option for purchase on the register and you will see the link to purchase physical plastic gift cards for your store, and the scanner if needed.

      Please note that you need to be onboarded to Stripe Connect to use our gift card program.

      Participating Location Setting

    • Gift cards are available for individual stores and store chains

    • If you are part of a chain of restaurants that has chain wide gift cards set up, then in the participating locations section in gift card settings, you will see a list of all the locations where gift cards purchased at your location can be used.

      Note: To adjust or activate chain wide gift card settings, please contact the Snackpass customer support team for assistance.

      Payout Method Setting

    • Single Account

      • Gift Card purchases (less processing) are paid out immediately to the specified bank account. Snackpass is not responsible for transferring funds between locations.

    • Purchase Location

      • Gift card purchases (less processing) are paid out immediately to the location where the gift card was purchased. Snackpass is not responsible for transferring funds between locations.

Purchasing Physical Gift Cards

  • Log into the RDB and navigate to Growth → Marketing → Gift Cards

  • Click the Order Cards button to order cards directly from our external vendor eCard Systems

  • You can purchase generic gift cards that have predesigned artwork or you can upload your own artwork to create custom cards

  • You can also purchase accessories like envelopes, sleeves, and counter top displays

  • Our vendor eCard Systems handles all support, production, and shipping of the cards

    When you order physical gift cards you will be asked to enter the following information:


    Please know that Company Name is the name for your company and Account Name should be the exact same name you have on the Snackpass Platform. Not to be confused.

Customer Buying A Physical Gift Card From Your Store

  • Customer in store approaches register (only can buy physical gift card on register)

  • Customer asks for a physical gift card from cashier

  • Physical gift card is selected from the menu (as a menu item) or on the left side bar of the register

  • Customer provides gift card amount between $5-$500

    • Preset options available as well as custom amount

  • Cashier manually types in gift card code or scans on QR scanner, which is available for purchase in the Snackpass Shopify store.

  • Customer gets printed receipt (with gift card amount and code)

  • Purchases of gift cards will go to the orderhub and Kitchen Display Screen (KDS)

Customer Using a Physical Gift Card

  • Customer has a physical gift card

  • Customer can use their physical gift card virtually by entering the code during checkout on the Online Ordering or Snackpass App

    Please note that physical gift cards are not connected to customer accounts

  • Customer can use their physical gift card in-store

    • Kiosk: By typing in their gift card code and pin

    • Register: By selecting gift card as their payment method and typing in their gift card code and PIN.

    • Register: By scanning the gift card, if you have our gift card scanner and entering the pin

    Note: If gift card doesn’t cover the entire purchase, customer will provide additional payment method (card or cash where applicable)

Digital Gift Cards

Sell digital gift cards to customers online or in-store with kiosks and the registers.

Setting up digital gift cards for your store.

In order to enable digital gift cards for your store, log into the Snackpass dashboard with your admin credentials. Once logged in, navigate to the left side menu and scroll down to GROWTH -> MARKETING -> GIFT CARDS.

Toggle on the Digital Gift Cards button on the Gift Cards section, read and accept the terms of service and your digital gift cards will be available for purchasing on Snackpass for online ordering and in-store purchases in kiosks or registers.

Participating locations for gift cards.

Digital gift cards are available for both individual stores and store chains! If you’re a store chain, you can select the participating locations where your customers can purchase and use your gift cards at. If this is something that you would like to enable, please contact our support team at 866-868-2146 or email them at [email protected]

Payout methods for gift cards.

When digital and physical gift cards are purchased, we offer two options for payouts:


Single Account Payout Method:

All Gift Cards for a multi location store get paid to a single bank account

Gift Card purchases (minus processing) are added to the next Snackpass payout to the specified bank account. Snackpass is not responsible for transferring funds between locations.

​If you have any concerns, please contact the Snackpass Support team to ensure the correct bank account is connected for your gift card deposits if you would like it deposited in an account separate from the primary account in which you receive Snackpass deposits.

Purchase Location Payout Method:

All Gift Cards for multi location stores get paid to the store where the gift card was purchased

Gift card purchases (minus processing) are added to the next Snackpass payout to the location where the gift card was purchased. Snackpass is not responsible for transferring funds between locations. You will need to reference our gift card liability report to know which stores they owe money to and which stores owe them funds.

Note: If you’d like to change payout method or adjust chain wide gift card settings, please contact the Snackpass Support team.

Purchasing digital gift cards workflow.

Digital gift cards can be purchased through our online ordering site,. They cannot be purchased through the Snackpass app, but they can be used on the Snackpass app

Requirements & Specifications

  • Gift card value has to be between $5 and $500 dollars.

  • Recipient’s name and phone number.

  • A message from sender to recipient (optional)

  • Sender’s phone number.

  • Senders can pay by manually entering their credit card or pay by connecting to their Snackpass account.

  • Purchaser is not charged any taxes or fees.

  • We do not support scheduled ahead send.

Buying a gift card through online ordering.

Customers can purchase digital gift cards directly from the online ordering site or kiosks and registers. This is the process to follow through online ordering:

  • Customers access the store’s online ordering site.

  • Customer clicks on the gift card button shown below the store’s name.

  • Customers should select and provide the following information: gift card design, gift card value, recipient’s name and phone number, optional message.

  • Customers click on add to order and proceed to checkout.

  • Customers should proceed to provide their phone number in order to check out. After the checkout process is completed, both sender and recipient will receive a notification via text.

NOTE: Customers can be redirected to our online ordering site too via a QR code that is displayed on kiosks and registers:

Redeeming a digital gift card.

  • There is no activation/registration/redemption process, because digital gift cards are connected to users by their phone number. When customers enter their phone number, they will be able to use their digital gift card on all platforms (kiosk, register, app, and online ordering).

Using gift card credit is optional. Here’s how using digital gift cards looks across different platforms:

  • Online Ordering

  • Kiosk

  • Register

  • App


    Notes:

    • Digital gift cards can not be used for pay later purchases.

    • Digital gift cards can not be combined with store credit.

    • Customer is texted a link to see their gift card information


    • It shows current balance, original balance (by hovering over the tool tip), the sender’s gift message, participating locations, and instructions on how to use the gift card.

Reports

As a partner, you have access to gift cards reports. In order to see them, you have to log in to the Snackpass dashboard with your admin information. Once logged in, navigate to the left side menu and click on DATA -> MORE REPORTS -> GIFT CARDS, where you will be able to visualize the following reports:


Overview Report

It shows how many gift cards were purchased, how many have been used, the outstanding balance, and refunds of gift cards. These stats are broken up by count and dollar amount for digital cards, physical cards, and total.

Balances Report.

It shows the balances of all gift cards at stores where the partner is an admin.


Transactions Report.

It shows all transactions of gift cards at stores where the partner is an admin. Transaction types including purchases of cards and usages of cards.


Liabilities Report.

This report shows gift card sales between locations for the time frame selected. This report allows you to periodically audit how much each store owes the others based on liability amount versus redeemed amount. When gift cards are redeemed, stores are responsible with accounting and distributing funds to the other individual stores. Snackpass does not hold the liability or handle the distribution.

For Location Share Payout Method Stores.

When value is loaded onto a gift card, that location receives the gift card funds up front. A location that redeems gift card value is owed sales value by the loading location.

  • Receivable is the gift card value spent at this location that was loaded at another location.

  • Payable is the gift card value loaded at this location that was spent at another location.

For Single Account Payout Method Stores.

When value is loaded onto a gift card, the specified bank account (Head Store) receives the gift card funds up front. A location that redeems gift card value is owed sales value by the Head Store.

  • Receivable is the gift card value spent at this location that was loaded at another location.

  • Payable is the gift card value loaded at this location that was spent at another location.

Gift Card Promotions

On our Snackpass Partner Dashboard, you're now able to create promotions for both digital and physical gift cards. You can customize gift card promotions to your specific needs by defining discount amounts, minimum load requirements, and maximum discount limits. It's essential to note that these type of promotions will be exclusively displayed on your online ordering site, register, and custom branded app. This targeted approach ensures maximum visibility and impact among your customer base.

In order to create a gift card promotion, please follow the next steps:

  • Log into your Snackpass Partner Dashboard with your admin information.

  • Once logged in, head to the left side menu and go to the Growth -> Marketing -> Promos.


  • When you click on the Promos tab, go to the Create Promo button on the upper right corner and select GIFT CARDS

  • After you select Gift Cards, you will be brought to a screen where you have to enter the Gift Card Promotion details.

  1. Promo Name: Naturally, the name for the gift card promotion.

  2. Promo Image: You can upload a photo to be included in your promo.

  3. Discount Type: You can either select a percentage off, or an amount off for this type of promotion.

  4. Discount Amount: The dollar amount or percentage amount you will be offering your customers, depending on the discount type you select.

  5. Minimum Load: The minimum amount of dollars required for the gift card promotion to be valid. For instance, if you set the minimum load to $30 dollars, a $20 dollar gift card won't be eligible for the promotion.

  6. Maximum Discount: The maximum discount the gift card promotion can give. This is especially important if the item has change price and the discount type is on percent off.

  7. Qualifying Items: This really does not apply here since this is for gift cards only, not menu items or categories.

Once these settings have been properly configured by you, click on the bottom right corner button that reads Create Promo and the promo will be displayed on your online ordering site, register and custom branded app.

How To Use A Gift Card Promotion On The Register?

It is important to note that on registers, you can only make use of these types of promotions on physical gift cards, as digital gift cards can currently only be purchased through online ordering or the custom branded site.

  • Access your register with your assigned PIN.

  • Once you're in, go to the left side menu and select Gift Card.

  • Select a gift card amount that qualifies for the promotion.

  • Type in the code or scan the bar code of the physical gift card.

  • After the gift card is added to the card, go to the left side menu and select Promotions.

  • Tap on the gift card promotion to add it to the cart and it should immediately deduct the discounted amount from the total.

  • Proceed to check out normally as you would with any other gift card.

How To Use A Custom Discount For A Gift Card On The Register?

If you prefer not to use a gift card promotion, you can apply a custom discount using the keypad feature on the register. Please note that this option is only available for physical gift cards. To apply a custom discount, follow these steps:

  • Access Register Mode: Enter your assigned PIN to access the register.

  • Select Gift Card: From the left-side menu, choose GIFT CARD. Then, enter the desired amount for the gift card and input or scan the gift card code.

  • Add To Cart: Once the gift card is in your cart, return to the left-side menu and select KEYPAD.

  • Apply Discount: At the top header, choose PERCENTAGE and enter the discount percentage you wish to apply. Click on DISCOUNT to confirm.

  • Proceed To Checkout: The discount will be applied immediately, allowing you to continue to checkout.



How To Use A Gift Card Promotion On The Online Ordering Site?

To make use a of a gift card promotion for a digital gift card through your online ordering site, follow the next steps:

  • Access your online ordering site.

  • At the very top, you will that the Promos category is going to be the first one to be displayed.

  • Within the promos, you will be able to see the gift card promotion.

  • Click on the gift card promotion and then you will be able to customize your gift card: amount, recipient, image, message, etc. The promo discount will be immediately deducted from the total amount.

  • After you have entered all the details for the gift card, click on Add To Order.

  • Proceed to the checkout process.

  • Finally, click on Pay Now to finalize the purchase.

How To Use A Gift Card Promotion On The Custom Branded Site?

The process to use a gift card promotion for digital gift cards on the custom branded site is the same one used on online ordering. Please refer to the previous section for it.
