Accepting Cash on the Snackpass POS

The Snackpass Cash Acceptance System involves a cash drawer, a receipt printer, the duo register or orderhub, and the dashboard. It is a mix of physical and digital systems that allows for cash sales to be properly taken, tracked, and audited at any given time.

Hardware


  • Volcora 500097 or 500001-N: A five bill and six coin slot cash drawer for accepting cash payments. Connected to the duo register via a provided RJ12 cable or to the Epson receipt printer via provided RJ11 cable.
    Note: As of November 15th, 2023, the duo register can now be directly connected to the Snackpass cash drawer through the built-in RJ12 port. The cash drawer must be a 12V cash drawer (Legacy Snackpass cash drawers shipped prior to November 15th, 2023 will not work with this feature, a hardware upgrade will be required) - 24V cash drawers will not work with the duo register.

  • Epson TM-M30II-H Receipt Printer: Connecting to printer enables automatic opening when a customer has placed an order and is paying via cash. It also allows for manual, remote opening from the Order Hub settings menu without the need for a key

  • Orderhub: Orderhub allows manual, remote cash drawer opening for various functions: withdrawal, deposit, open and audit.

  • Duo Register (D4): The Snackpass duo register allows for cash drawer operations as well. It gives you the possibility to start new cash drawers and perform actions such as cash in, cash out, no sale, tip out, count cash and end the drawer to keep daily operations up to date.

How To Enable Cash As A Payment Method

In order for you to be able to take cash in both registers and kiosks, you will need to enable this via your dashboard.

  • Sign in to the dashboard with your admin information.

  • On the left side menu, navigate to Devices > Kiosk | Register.

  • Click on the device name of the kiosk or register you will be taking cash with.

  • Select edit, and scroll down to settings to toggle on the allow cash payment option.

  • Save changes.

After this, your kiosk app should be restarted, and your kiosk or register will be ready to take cash as a payment method.

How To Take A Cash Order


Register Vs Customer Kiosk

Cash acceptance works as a payment method for both registers and customer kiosks. Their user experiences are going to be slightly different.

Register

If enabled, cash will appear as a payment option during the checkout process.

  1. The customer will select the amount tendered. We have some preset options, but the customer can always select other in case the amount they're going to pay with is different. Once the amount tendered is selected, the register will display the change to give back.

  2. The cash drawer will automatically open to enable this transaction, whether it is connected to the register or the receipt printer.

  3. Order is simultaneously sent to the orderhub and is immediately started automatically, if auto-accept is on.

Customer Kiosk:

  1. If enabled, cash will appear as a payment option during the checkout process.

  2. After selecting the option, the kiosk will alert the customer to please head to the counter to complete the payment.

  3. An order will be sent to the orderhub and remain in a pending state until customer goes to the counter to pay. This means the order will NOT start and be sent to the printer or KDS until payment is confirmed.

  4. Once customer goes to the counter to pay, the staff would interact with the orderhub to select amount tendered, obtain the amount of change to give, and hit confirm payment.

  5. The cash drawer will automatically open to enable this transaction.

  6. The order will either be awaiting a prep time to be selected or automatically start if auto-accept is turned on for the store.

Cash Drawer Functionality And Activity Auditing


Backend cash drawer functionalities can be found on both the register and the orderhub. All of these activities are tracked on the dashboard reporting for cash drawers. To allow for these functionalities, the cash drawer must first linked to the store's register or receipt printer via the devices section on the dashboard.

Creating A Cash Drawer

To create and link a cash drawer to either your register or receipt printer, you have to follow these steps:

  • Log into the dashboard and select devices on the left side menu.

  • Select either Kiosk | Register or Printer on the devices menu. Select according to the device you will connect the cash drawer to.

  • Click on the device name and select edit.

  • Scroll down and go to Cash Drawer Settings and click on create.

  • Type in a name for your register and hit submit.

  • Save changes and the cash drawer will be successfully connected to the device of your selection.

Cash Drawer Actions On The Orderhub

After registering the cash drawer to the store's receipt printer, the orderhub app has to be restarted for an Open Cash Drawer button to appear in the settings tab. Four actions will show once you select that button.

  • Open: This button allows you to open the cash drawer.

  • Audit: This button allows you to update the cash drawer total. This is usually done at the end of a shift where store wants to close out their cash drawer by counting the total. More explained below.

  • Deposit : This button allows you to add money to the cash drawer.

  • Withdrawal: This button allows you to remove money from the cash drawer.

Note: If a store has employee PIN requirement turned on, each of these actions will require an employee PIN entry for linking employees to each cash drawer activity.



​Cash Drawer Options On Kitchen OS

Once you register a cash drawer to a duo register, you will be able to access six different actions. To view them, you have to go to the settings tab, and then select the cash drawer tab.

  • Open Drawer: This button will allow you to enter an amount to start a new drawer. This is usually done at the beginning of the shift.

  • No Sale: This button will give you the opportunity to open the cash drawer for non-sale related actions, such as retrieving an item that was forgotten inside the drawer, for instance.

  • Cash In / Cash Out: This option allows you to either deposit or withdraw money from the cash drawer.

  • Tip Out: This button allows you to retrieve the tips for the day.

  • Count Cash: This button functions as the audit button, which allows you to update the amount of money that's inside the cash drawer.

  • End Drawer: This button simply closes out the cash drawer for the day after the shift is finished.

Cash Drawer History

Every single cash transaction and cash drawer event created is stored on the Dashboard. On the left side menu, go to Financials > Cash, and a history of the cash drawer along with information for each action performed will be recorded there.

You also will be able to filter out by employee or action performed. This will give you visibility for every single action that was performed from the moment a session was started until the moment it ended.
