Reconciliation
The Payout Reconciliation report gives you a clear view of how your Snackpass sales become an expected payout and where those funds currently stand, whether they've already been paid out or are still pending settlement.
To access it, go to Data > Sales > Reconciliation on your restaurant dashboard.
Use the date filter at the top to select your desired period.
Note: This report covers Snackpass sales only. Third-party marketplace orders and payments are excluded from every number shown.
Payout Calculation
The Payout Calculation section shows how your collected payments are broken down into an expected payout amount. You can click View Orders to see the individual orders included in the selected period.
Total Collected: The total amount collected from customers during the selected period.
Cash: Cash payments are deducted since they are collected in person and not paid out via bank transfer.
Gift Card Redemption: The value of gift cards redeemed is deducted, as those funds were collected at the time of gift card purchase.
Store Credit Redemption: Store credit applied to orders is deducted from the payout calculation.
Processing Fees: Payment processing fees charged per transaction are deducted.
Snackpass Fees: Any applicable Snackpass platform fees are deducted.
Gift Card Payout: The value of gift cards sold during this period is added, as those funds are owed to you.
Expected Payout: The resulting amount you can expect to be paid out for the selected period.
Gift Card Sales
The Gift Card Sales section shows a breakdown of gift card activity during the selected period, including gift cards purchased by card or cash, any refunds processed, and the resulting Gift Card Payout, the amount added to your expected payout for gift card sales. You can click View Transactions to see the individual gift card transactions.
Card: Gift cards purchased via card payment.
Cash: Gift cards purchased with cash.
Refund Card: Gift card refunds processed back to a card.
Refund Cash: Gift card refunds processed back in cash.
Gift Card Payout: The net amount from gift card sales included in your expected payout.
Settlement Status
The Settlement Status section shows where every dollar of your expected payout currently stands.
Paid Out: Funds that have already been sent to your bank account.
Pending Settlement: Funds that have not yet settled and will be paid out in an upcoming payout once they do.
The relationship between these two is straightforward: Paid Out + Pending Settlement = Expected Payout
This means every dollar of your expected payout is accounted for, it has either already been deposited or is on its way.
Payout Breakdown
The Payout Breakdown section shows the timing detail for how your sales from the selected period are being paid out. You can click View Payout History to see your full payout history. Each row includes:
Payout Date: The date the payout was initiated.
Orders: The number of orders included in that payout.
Expected Payout: The amount paid out for that batch of orders.
Payout Period: The settlement window during which those orders were processed.
Note that the payout period may not match your selected date range exactly, as payouts are based on settlement timing rather than calendar days.Status: The current status of the payout: either Paid, In Transit, or Pending Settlement.
Estimated Arrival: The expected date the funds will be deposited into your bank account.
Frequently Asked Questions
Why doesn't my Expected Payout match my Sales Report?
This is expected. Your Sales Report covers fixed date ranges, while your Expected Payout is based on when funds settle, which doesn't always align to the same window. For more details, refer to our Payout Schedules article.
What does Pending Settlement mean?
It means those funds have not fully settled yet. Once they do, they will be included in an upcoming payout automatically. You can refer to the Payout Calendar article to understand when your next payout is expected to be initiated.
Why are cash payments deducted?
Cash is collected directly from customers in person, so it is not included in your bank payout. Your Expected Payout reflects only funds transferred electronically to your bank account.
Why does the Payout Period not match the date I selected?
Payouts are based on settlement windows, not calendar days. The Payout Period shown reflects when your funds were actually settled and grouped for payout, which may span across different dates than your selected filter. For more details, refer to our Payout Calendar article.
